Payroll Tax Specialist

Location: Mesa, AZ 85206
Work Setting: Onsite

Position Overview

We are seeking a Payroll Tax Specialist to support accurate and timely tax filings across federal, state, and local jurisdictions. This position plays a key role in ensuring compliance for a high-volume, multi-state environment and will partner closely with payroll and accounting teams.

Key Responsibilities

  • Process timely payroll tax deposits and filings across federal, state, and local jurisdictions

  • Review payroll records to ensure accurate tax reporting and compliance

  • Perform monthly, quarterly, and annual tax reconciliations

  • Conduct audits as required based on jurisdictional requirements

  • Complete W-2 reconciliations and process corrections

  • Obtain and maintain authorization to act as an appointed agent for tax filings

  • Investigate and resolve tax notices, penalties, and inquiries

  • Collaborate with Accounting and Payroll teams to resolve discrepancies

  • Maintain accurate employer records within electronic systems

  • Ensure adherence to internal policies, including cybersecurity standards

  • Perform additional duties as assigned

Required Qualifications

  • Bachelor’s degree in a business-related field

  • 2+ years of experience in multi-state payroll tax processing

  • Knowledge of domestic employer tax filing requirements

  • Understanding of payroll, employment tax, and basic accounting principles

  • Familiarity with GAAP and tax compliance practices

  • Strong analytical and problem-solving skills

  • High attention to detail and ability to work independently

  • Proficiency in Microsoft Office (Excel, Word, Outlook)

  • Experience working with relational databases

  • Strong organizational and time management skills

  • Excellent customer service skills

Communication Skills

  • Strong verbal and written communication skills

  • Ability to work effectively with diverse internal and external stakeholders

  • Ability to maintain confidentiality

  • Comfortable presenting or conducting trainings

  • Ability to resolve issues professionally and diplomatically

Work Environment & Physical Requirements

  • Ability to sit for extended periods while working across multiple systems

  • Frequent use of hands and fingers for data entry

  • Occasional standing, walking, and speaking for extended periods

  • Ability to manage multiple deadlines in a fast-paced environment

  • Vision requirements include close vision and focus adjustment

  • Travel may be required as needed
